Job DescriptionJob PurposeWorking with the EMEA Product Operations team, the Digital Operations Executive role is primarily responsible for end-to-end delivery of webinars for the EMEA Events Operations portfolio. Ranging in size and logistical complexity, you will partner with key Show Team stakeholders and lead on the project planning, development, and delivery of up to 4-5 webinars a month. Each webinar is intended to be an externally facing, engaging, and thought-provoking discussion between multiple sponsor speakersYou will also be a core part of the Product Operations Team by co-managing our Tech enabled in-person Exhibitions. You would be responsible for platform delivery and required digital configurations, via platforms such as Expoplatform. You would also be a partner with the physical operations team on onsite digital support needs.QualificationsMAIN DUTIES & RESPONSIBILITIESMain duties & responsibilitiesOperational dutiesOperationally managing the schedule of webinars - being mindful of working with Show Teams to avoid clashes and public holidays across multiple portfolios.Full setup and end-to-end management of hosting webinars using platforms such as On24, Swapcard and Expoplatform (SaS Providers)In collaboration with Digital Project Manager, you would co-ordinate mid -large sized tech- enabled Exhibitions, where you will be responsible for SaS platform configurations and ensuring data and event details are correct and deadline driven.Ensure all preferred suppliers and Show teams are kept fully up to date with digital event information, e.g. platform build, project status, event metrics, and delivery details are communicated to an agreed frequency scheduleSending out timely ‘deadline reminders’ to exhibitors, speakers, moderators and colleagues. Assist with post-event reporting and analysis through collation and recording of requested data to continuously improve the webinar series and/or Tech-enabled ExhibitionsBe a platform subject matter expert and assist various teams or clients with operational queriesTest the digital event set up and support extended Product Team where requiredCompile event reports and KPI analysis on each eventGeneral team support & additional areas of responsibilityAttendance at any required meetings, minute & action taking for distributionCreate and maintain show specific project plans in the agreed format for review & sign off by individual Project Managers on an event-by-event basisEnsure all allocated operational tasks are carried out on a timely basis according to individual project plans and adhere to multiple deadlinesBackground knowledge, skills & experienceEssentialExperience and invested interest in digital events - staying abreast with the latest developments and trends in the digital events/marketing fieldAble to demonstrate a proactive approach and take initiative in anticipating Show Team and sponsor/speaker webinar and tech-enabled event needsStrong time management and organisational skills; can work to tight deadlines, able to prioritise and manage several different tasks and EMEA events at the same time in different time zones12 months experience at Event Operations Executive level with core experience or understanding of digital event managementExperience and/or interest in digital platforms such as Swapcard, Expoplatform, On24, Vimeo, StreamyardExcellent interpersonal, oral and written skills in EnglishIT confident and able to work with various systems; including, but not limited to, Jira, Confluence, Smartsheet, Teams, Outlook, Word, Excel, PowerPoint skillsDesirableWorking knowledge and/or technical understanding of the digital event industry, exhibition industry and conference industryCreativity and marketing acumen, great copywriting skills and html knowledgeAbility and willingness to work additional hours if required to deliver an EMEA eventBehavioural competenciesPositive attitude and open minded; ability to listen to others views and opinionsTeam player; good humoured and act with integrityProfessional customer focused attitude; ability to stay calm and patient under pressureForward thinking, flexible and able to troubleshootAbility to work in a multicultural environment and respectful of other culturesFlexibility and adaptability
