The role will help maintain the operations of Egypt Regional Office (ERO) in addition to maintaining solid relationships with internal and external stakeholders by responding to emails, arranging calendars, scheduling meetings, scheduling conference calls, and several other administrative tasks.Your Responsibilities will be : Creating and maintaining office systems, such as data management, filing, in addition to contracts cycle management and archivingResponsible for office management, operation, maintenance, supplies and logistics management of Egypt Regional office (ERO)Perform complex administrative tasks for ERO functions, including but not limited to proactive calendar management, travel arrangements, presentations and preparing expense reports, medical claims collections while adhering to Acino procedures and policiesMeeting & greeting guests and business partners at all levels of seniorityManage corporate rates for hotels and restaurantsOrganize meetings and events including scheduling, coordinating room schedules, AV assistance and cateringCreate purchase requisitions and assist in reconciling open purchase orders as well as supervise backend monitoring reportsGenerates monthly spending breakdown reports from system for the different departments to facilitate analysisExtracts monthly reports from CRM and creates MSLs dashboardCollect and compiles monthly activities reports for the MA teamExtracts and analyses all META monthly activities and events/country from EMSProvide updated monthly performance dashboard to META team for monthly brand team meeting, done by regional teamKeep tracks of functional budget & actual spending on monthly basis by aligning with finance/procurement’s monthly trackerEnsure securing best possible rates from our vendors for External & Internal activities/events, to reduce cost & have positive impact on budgetOrganize files and folders on SharePoint Site, as needed Your Profile : Bachelor degreePrevious experience in a similar position is a mustExcellent command of written and spoken EnglishAdministration or Secretarial qualification preferredDemonstrable administrative or secretarial experience working in a flexible team environment supporting Senior Management and their teamsExcellent computer skills and proficiency with Microsoft Office productsExcellent organizational and co-ordination skillsDemonstrate ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels and functionsExcellent communication skills and influencing ability, demonstrates success in building productive relationships with internal and external stakeholdersDigital Marketing Certificate/Diploma is a plus This is the opportunity to join a very dynamic organization, where decisions are taken fast and where you can actively participate in shaping our future.
