The Personal Assistant will work closely with the CEO providing an administrative support, helping him make the best use of his time by efficiently organizing his schedule.Business Industry: Couture, Design & Fashion House Position Location: Beirut, Lebanon Primary Duties and Responsibilities:• Act as the CEO’s first point of contact.• Meet, greet and assist CEO’s visitors.• Screen telephone calls, take messages and respond to queries.• Organize CEO’s agenda and schedules and remind him of important tasks and deadlines.• Manage diaries and organize meetings, appointments, conference calls and interviews.• Attend meetings when needed, take minutes, distribute communication and do proper follow-up.• Participate in event planning, and organize conferences and business meetings.• Type, compile and prepare reports, presentations and correspondence.• Coordinate travel bookings, visa processing, transportation and accommodation.• Implement and maintain procedures/administrative systems.• Manage databases and filing systems.• Liaise with staff, suppliers and clients.• Maintain an updated checklist of all contracts and insurances, and remind CEO about updates as needed.• Prepare mailings and packages for delivery during festive seasons.• Support other departments when needed especially during peak times.• Ensure the well-functioning of all equipment and tools used in the atelier, report any malfunction to the Maintenance team.• Coordinate and follow up on maintenance related to the CEO office.• Ensure the cleanliness of the department at all times.• Responsible for the office supply (stationary and equipment). Education and Experience:• Holder of a relevant diploma;• Proven experience as a Personal Assistant. Knowledge, Skills and Abilities:• Excellent computer skills with in-depth understanding of entire MS Office.• Excellent time management skills and ability to multi-task and prioritize work.• Must be able to meet deadlines.• Strong organizational and planning skills• A proactive approach to problem-solving with strong decision-making skills.• Excellent verbal and written communications skills.• Highly attentive to details.• Committed and discrete.• Trilingual; perfect Arabic, English and French
